Job Purpose: To support the Client Services function of the Company by providing all aspects of administrative assistance & support

Key Responsibilities & Tasks:

  • Ensure smooth running of Client Technical & Customer Services: Respond to incoming telephone calls, managing incoming/outgoing post, filing & photocopying/scanning/Translations as required
  • Travel arrangements for the Client Services Team and preparation of travel itineraries, visas etc.
  • Managing course bookings from our global dealer network
  • Loading courses onto the academy
  • Day to day management of the training academy (Technical)
  • Assist with the development of training courses where required
  • Arrangement and preparation of meetings, catering requirements taking minutes as required
  • Coordinate all suppliers with regards to orders (PCR’s), contracts, payment (GRN) etc.
  • Ensure all accounting issues of Client Services are up to date
  • Coordinate weekly movement schedules of Client Service Team
  • Diary management and coordination for Client Services Director & Senior Managers
  • Updating and maintaining Dealer Directory & eLearning Registration Database
  • Preparing invoices to Dealers for technical training course attendance
  • Managing internal & external communication - email distribution lists for Dealers etc.
  • Supporting Dealer & training events – hosting etc.
  • Preparing routine Dealer visit reports
  • Following relevant training, process basic in Warranty eScribe Estimates
  • Following relevant training, process Warranty Claims within agreed financial limits


Qualifications & Experience:

  • Good level of PC literacy required:
  • MS Office (Excel, Word, PowerPoint & Outlook)
  • Excellent typing skills
  • Excellent interpersonal skills and good telephone manner
  • Proactive and professional attitude
