Job Purpose: The purpose of this role is to assist a large Vehicle Engineering team in the fulfilment of non-core engineering tasks, such as travel booking, minute taking, diary management and headcount administration.

Key Responsibilities & Tasks:

  • Controlling the diary for Meeting Rooms and organising Meetings on behalf of the team
  • Booking Flights, Accommodation and Travel
  • Booking development vehicle transportation for test trips
  • Keeping communal areas tidy and organised in-keeping with H&S regulations
  • Meeting & Greeting Visitors and VIPs
  • Facilities management and responsibility for accounts and office budget
  • Liaising with Finance department to deal with invoicing and expenses, reporting on spend
  • Coordination of new starter induction and desk setup
  • Ensure all Office systems are up to date including time-sheets, staff rotas, holidays and payroll
  • Assist in office resource management issues and time-keeping
  • Assist in the recruitment of staff
  • Update the organisation structure and liaise with Human Resources to publish

Qualifications & Experience:

  • Exceptional organisational skills with the ability to prioritise workload
  • Must have background knowledge of working with financial aspects of a small business
  • Highly capable negotiator
  • Confident communicator, must be able to liaise with all areas of the business sufficiently
  • Ability to improve methods and productivity
  • Excellent command of the English language, both written and verbal
  • Must have excellent interpersonal and relationship building skills
