Role Specific Activities:

  • Assist in the development web based SharePoint IT platform solutions and databases
  • Format and maintain CMS documentation on SharePoint Platform
  • Ensure document control systems are maintenance and Management of Change Processes are administered
  • Manage various KPI software solutions and prepare management information, reports and analysis
  • Prepare management reports and data to determine the effectiveness of the systems and performance of the business including trend analysis
  • Combine different types of data and present in various formats, assist in the production of reports, presentations and various other documents
  • Preparation of presentation packs as required for HSEQ department.
  • Manage databases for HSEQ (and other functions) such as audit, NCR, CAR, SOS, PSS etc.
  • Conduct various administrative duties in relation to systems control and management
  • Support development of and manage web based Microsites
  • Develop, implement and maintain administrative systems within HSEQ (using IT where appropriate) which positively contributes to the effective and efficient management of information.
  • Monitor that accident investigations are tracked, reviewed and entered into the Group database and BIS-IS databases
  • Produce detailed monthly management information reports, including statistic reports and trend analysis
  • Manage database maintenance and data entry
  • Maintain SYPOL COSHH Database
  • Support the effective communication of SharePoint systems and other database requirements
  • Provide administration support to HSEQ Department for various system and functional activities
  • Maintain effective filing systems
  • Maintaining audit schedules, receiving and logging audit reports and Corrective Action Reports
  • Support the management of personal injury claims and rehabilitation programmes, liaising closely with HR personnel.
  • Receive, log and maintain registers of all internal & project audit reports, 3rd Party Surveillance Reports and Corrective Actions.
  • Receive and analyse HAVs records, reporting anomalies for further action.
  • Maintenance of asbestos project/contract and medical records
  • Manage the procurement, storage and issue of HSEQ resources (posters, presentations, leaflets  etc)

  • Develops, maintains and improves company systems looking for continuous improvement opportunities through the Management of Change process and identification of best practice
  • Communicates best practice and feeds into HSEQ systems for continual improvement

  • Provides technical expertise on SharePoint and other systems

Experience:

  • Two years administration experience
  • Advanced Microsoft Office Skills (2007 or 2010)
  • Two years experience of SharePoint
  • Experience of Relational Databases (Access or SQL)
  • Experience of configuring custom Webparts

Qualifications:

  • SharePoint Designer 2007 or 2010
  • ‘A’ Level standard or above
